How to Complete a Checklist

Learn how to efficiently complete Checklists, navigate different question types, and use schedules effectively.

Completing Checklists in the Opus app is simple and intuitive: from opening the app to submitting your entries, each step is designed to guide you seamlessly through the process, with automatic progress saving and clear prompts so you never miss a task.

How to Complete a Checklist in the Opus App

Note: Checklists can only be completed in the mobile app.

Steps to Complete a Checklist

  1. Open the Opus app

    • Scheduled Checklists appear in the Checklists section on your home screen

    • To find unscheduled Checklists, go to Training > Library and filter by Checklist

    • You'll only see Checklists you have access to

  2. Check the time window (for recurring Checklists)

    • Checklists are ordered by urgency, with the most time-sensitive appearing first

    • Each shows when it should be completed

    • If you complete a Checklist outside its scheduled window, you can still proceed, but the submission will be marked as "missed"

  3. Select the Checklist you want to complete

  4. Choose your location (if prompted)

    • If the Checklist applies to multiple locations, you'll select yours before continuing

  5. Answer the questions

    • Your progress saves automatically if you exit the app

    • A progress bar shows your completion status for each section

    Question types you might see:

    • Yes/No – Quick confirmations (e.g., "Are all exits unlocked?")

    • Checkbox – Mark tasks complete (e.g., "Wipe down counters")

    • Text Entry – Add notes or feedback (e.g., "Describe any issues")

    • Number Input – Enter counts (e.g., "How many meals were prepped?")

    • Temperature – Record exact readings (e.g., "Enter fridge temperature")

    • Multiple Choice – Select from options (e.g., "Which station did you work today?")

  6. Submit your Checklist

    • Once submitted, your responses will be visible to your team. If something needs fixing after you submit, a manager can send you a follow-up Task. Learn more in Tasks Overview.

💡 When completing a Checklist, you might be asked to upload a photo or video (or several) for certain steps. Tap the upload button to take a new photo or video, or choose one from your camera roll.

🤝 Collaborate in real time: When you and your teammates work on the same Checklist, you'll see their answers update live, even before they submit. Jump in, pick up where they left off, and finish tasks together without duplicating work.


What Are Triggers?

As you fill out your Checklist, you may see prompts for additional action. These are called Triggers. Triggers are automatic actions tied to certain steps in a Checklist. They help you:

  • Flag an issue: Quickly highlight a problem for your Manager to review.

  • Take corrective action: Receive a prompt to fix something immediately if needed.

  • Notify the right people: Automatically alert a team member based on your response.

Triggers make it easy to stay on top of any issues without extra steps.


Sharing a Checklist via Library Access

Checklists cannot be assigned like Courses or Modules, but they can be shared with your team through Library Access.

Checklists are designed to be accessible to anyone who may need to complete the work during a shift, so instead of assigning them to specific people, you give broader access based on filters like Roles, Locations, or Departments. This ensures the right team members can always find the Checklist, without relying on individual assignments.

How to Set Up Library Access for a Checklist

Here's how to make a Checklist accessible to your team:

  1. Open the Checklist you want to share in your dashboard

  2. Open the Manage tab

  3. Click Add Access

  4. Choose which Role(s), Department(s), Location(s), Brand(s), or Region(s) should have access

    1. (Optional) Use + Add a Segment to give access to different user groups with different rules

Once access is set, the Checklist will automatically appear in the Library for anyone included in those segments.

🤝 Here's why Library Access is the model instead of assignments:

  • Teams often share responsibilities across shifts.

  • Anyone working that day may need to complete or verify tasks.

  • Assigning to individuals can block the workflow if someone is absent or shifts change.

How to Assign Access to a Checklist

Access to Checklists is given through Library Access; they aren't directly assigned to individual users. In the Manage tab of your Checklist dashboard, Admins and Managers can set Library Access by selecting criteria such as Roles, Departments, Locations, Regions, Brands, Franchises, or hire date.

💡 Checklists will only appear in the Opus app for users who meet the criteria you set.


Checklist Schedules

Scheduled Checklists appear on your app's homepage within the set time frame. This ensures you have access when needed, like during opening or closing shifts, and helps you stay on track with recurring tasks.

Admins can create schedules by going to Manage > Schedule, where you'll assign locations and set time frames for recurring tasks. Once the schedule is active, the Checklist will appear in the app at the designated time, and you can track completion in Reporting > Schedule Completion.


Conditional Checklist Steps

When completing a Checklist, you may encounter steps that only appear based on your previous answers. These are called conditional steps, and they help ensure you only see questions relevant to your specific situation.

How Conditional Steps Work

As you work through a Checklist, certain questions may trigger additional follow-up steps based on your response. For example:

  • If you answer "Yes" to "Do you have an ice cream machine?", you might see additional questions about cleaning and maintenance procedures for that equipment

  • If you answer "No," those extra steps won't appear, and you'll move directly to the next relevant question

This streamlines your experience by showing only the steps that apply to you, reducing completion time and unnecessary work.

FAQ

Will team members or Managers get push notifications reminding them to complete a Checklist?

No, Opus does not currently send automated push notifications for Checklists. Push notifications are limited to learning assignments. Since Checklist completion is tied to location-based Library Access, notifications would go to every user with access, which can get noisy fast.

Can I still access and submit Checklists outside of a scheduled window?

Yes! Checklists can be accessed and submitted at any time. If you open one outside its timeframe, you'll see an alert, but you can still complete and submit it.

Can I collaborate with my team on a Checklist?

Yes! You and your teammates can work on the same Checklist at the same time. You'll see their answers appear in real time, even before they hit submit. If someone has already started the list, you can pick up right where they left off. This makes it easier to team up, avoid duplicate work, and get tasks done faster.

How do I access a Checklist that isn't part of a recurring schedule?

You can find non-recurring Checklists in the Library. Use the Checklist filter to search and view one-off lists or those scheduled for specific events, like monthly or quarterly tasks.

Can Admins control who sees a Checklist?

Yes. Admins can manage access through the Library. They can give Checklist access to specific Roles, Departments, Locations, Regions, or other criteria, ensuring the right people have access based on your set filters.
