Completing Task Lists in the Opus app is straightforward and intuitive. From opening the app to submitting your entries, each step is designed to guide you seamlessly through the process, with automatic progress saving and clear prompts to ensure you never miss a task.
How to Complete a Task List in the Opus App
Open your Opus app.
Any Task Lists a user has access to will appear in the Task Lists section of the app home screen. Please note that Task Lists can only be completed via mobile.
Check the time window.
Task Lists are organized chronologically, with the most urgent ones appearing first. Each Task List shows when you should complete it.
Here, you can also view any upcoming Task Lists.
If you try to fill out a Task List outside its scheduled window, the app will notify you. You can still proceed if needed, but the submission will show as “missed”.
Select the Task List.
When it's time, tap on the Task List from your home screen to begin.
Select your location (if prompted).
If the Task List is assigned to multiple locations, the app will ask you to select your location before continuing.
Start answering the questions.
Your progress is automatically saved if you need to exit the app, and you'll see a progress bar for each section.You'll encounter these types of questions:
Yes/No: Quickly confirm compliance tasks, like "Are all exits unlocked?"
Checkbox: Mark tasks as completed, like "Wipe down counters."
Text Entry: Add open feedback or notes, like "Describe any issues during your shift."
Number Input: Enter counts, like "How many meals were prepped?"
Temperature Input: Record exact temperatures, like "Enter fridge temperature."
Multiple Choice: Select from standard options, like "Which station did you work today?"
Submit your Task List
Once submitted, your entries will be visible to your team.
What Are Triggers?
As you fill out your Task List, you may see prompts for additional action. These are called Triggers. Triggers are automatic actions tied to certain steps in a Task List. They help you:
Flag an issue: Quickly highlight a problem for your manager to review.
Take corrective action: Receive a prompt to fix something immediately if needed.
Notify the right people: Automatically alert a team member based on your response.
Triggers make it easy to stay on top of any issues without extra steps.
Accessing Task Lists in the Library
You can access Task Lists through the Library. Any user with access can find them by using the search function and filters. This is especially helpful for non-recurring Task Lists, such as one-off lists or those for monthly, quarterly, or special events.
How to Assign Access to Task Lists
Access to Task Lists is given through Library Access—they aren't directly assigned to individual users. In the Manage tab of your Task List dashboard, admins and managers can set Library access by selecting criteria such as roles, departments, locations, regions, brands, franchises, or hire date.
Task Lists will only appear in the Opus app for users who meet the criteria you set.
Task List Schedules
Scheduled Task Lists appear on your app's homepage within the set time frame. This ensures you have access when needed, like during opening or closing shifts, and helps you stay on track with recurring tasks.
Admins can create schedules by going to Manage > Schedule, where you'll assign locations and set time frames for recurring tasks. Once the schedule is active, the Task List will appear in the app at the designated time, and you can track completion in Reporting > Schedule Completion.

Q: Can I still access and submit Task Lists outside of a scheduled window?
A: Yes! Task Lists can be accessed and submitted at any time. If you open one outside its timeframe, you'll see an alert—but you can still complete and submit it.

A: If the Task List is assigned to a shared role (like two servers on the same shift), only one person needs to complete it. Once done, others will see it's already completed for that schedule.
