Admin & Multi-Location Manager View

Admins and multi-location Managers share a similar app layout built for overseeing multiple locations at once.

The key difference is scope: Admins see the full organization across all locations, while multi-location Managers only see the locations they've been assigned to.

Home Screen

At the top of the home screen, Admins and multi-location Managers see three quick-action buttons:

  • Invite — Generate a QR code to invite team members.

  • Assign — Assign training to the team.

  • Message — Send a message to team members.

Below the action buttons, the home screen is organized into these sections:

  • Knowledge Checks: Appears at the top of the home screen. These are daily questions that reinforce learning from completed training.

  • Locations

    • Locations Overview: A grid displaying each location along with its users who are past due and overall training completion percentage. Admins see all company locations; multi-location Managers see only the locations they manage. This gives a quick, at-a-glance picture of where each location stands.

    • Locations Leaderboard: Ranks locations by training completion percentage, making it easy to spot top performers and locations that need attention.

    • Not Invited: Surfaces team members who haven't been invited yet, so gaps can be filled quickly without digging through individual location records.

    • Check-ins to Facilitate: A list of all check-ins awaiting facilitation across managed locations.

  • Your Assignments: Displays any incomplete training assigned to the Admin or Manager.

  • Task List: Shows upcoming scheduled Task Lists the Admin or Manager needs to complete. Only appears for customers with the Task List subscription.

  • Recently Viewed: Quick access to content recently opened by the admin or manager.

Admins and multi-location Managers can access profile settings in the top-right corner of the home screen to view training certificates, edit user info, and log out.

Team Tab

The Team tab displays team members organized by Managers and Trainees, filterable by location. Clicking any team member's profile allows viewing details, assigning training, sending messages, editing info, and reviewing assigned and completed training.

Library Tab

The Library contains all content the Admin or multi-location Manager has access to, including modules, courses, task lists, and resources. Folders (if configured) appear at the top, and tags can be used to filter content quickly.

💡 Admins see the full library. Managers see content associated with their assigned locations.

Messages Tab

Admins and Managers can view received and sent messages and send new ones to their team.

Ask AI Tab

Opens Ask Opus, Opus's built-in AI assistant. Ask Opus can answer questions about anything in the Library (based on access level) and about the Opus platform itself.

Single-Location Manager View

Single-location Managers have a focused on their one location. They see a similar layout to Admins and multi-location Managers, but their home screen is oriented around their team rather than a multi-location overview.

Home Screen

The same three quick-action buttons appear at the top — Invite, Assign, and Message.

Below those, the home screen includes:

  • Knowledge Checks: Appears at the top of the home screen. These are daily questions that reinforce learning from completed training.

  • Needs Attention: Shows team members who haven't been invited yet, team members without an assigned role, check-ins to facilitate, inactive users, and overdue training. Managers can take action directly from here. This section only appears when there's something to act on.

  • Your Assignments: Displays any incomplete training assigned to the manager.

  • Task List: Shows upcoming scheduled Task Lists to complete. Only appears for customers with the Task List subscription.

  • Check-ins to Facilitate: Shows pending check-ins the Manager can facilitate to verify team members' skills. Only appears when check-ins are waiting.

  • Recently Viewed: Quick access to recently opened content.

Team, Library, Messages, and Ask AI Tabs

These function the same as described above, scoped to the Manager's assigned location and content access.

Trainee View

Trainees have a streamlined view focused on completing training and tasks.

Home Screen

  • Knowledge Checks: Appears at the top of the home screen, just below the trainee's name. These are daily questions that reinforce key topics from completed training.

  • Your Assignments: Shows all outstanding training for the trainee.

  • Task List: Displays any scheduled Task Lists assigned to the trainee.

  • Recently Viewed: Quick access to content recently opened by the trainee.

Library Tab

The Library contains everything a Trainee has access to, including Modules, Courses, Task Lists, and Resources. Folders (if set up) appear at the top, and trainees can use tags to filter content.

Messages Tab

This tab displays received Messages. Trainees can receive messages but cannot send them. They can only react with an emoji.

Ask AI Tab

Same experience as other user types. Ask Opus answers questions based on the trainee's library access.

Profile Tab

For Trainees, Profile is a dedicated tab in the bottom navigation (the rightmost tab). Here, trainees can view training certificates, edit their user info like preferred language, and log out.
