How to Control Access to a Resource from the Library

Here is how you share a Resource:

  1. Click the "Resources" tab in the Library

  2. Click on the title of the resource you'd like to grant access to

  3. Click the “Manage” tab

  4. Click "Add Access"

  5. Select which department(s), brand(s), region(s), franchise(s), location(s), or role(s), you'd like to grant access to

👥 Click + Add a Segment in the Library Access window to give access to separate user groups. This is helpful when managing distinct groups within the same company!

Here is how to assign Library Access to multiple items at once:

  • Select multiple pieces of training in the overview section of your dashboard, like the list of Resources

  • Click the Library Access dropdown in the menu bar at the bottom of the screen

  • Click Change Access to set Library Access rules or Remove Access to revoke permissions

    • Removing access immediately removes the content from the user’s library.

  • Assign access based on individual users, roles, locations, departments, regions, brands, or franchises.

⚠️ Standalone Resources in the Library cannot be assigned. They can only be shared with team members through Library Access.

How to Set Access for a Resource within a Course or Module

Here is how to set access for a resource within a Module:

  1. Click "Add Content"

  2. Click “Resource”

  3. Select a resource from the existing list in your library, or click "Add New Resource"—this will add the resource to your module

FAQ

Can I give different access rules to different groups?

Yes! You can add multiple segments when sharing a Resource. Use + Add a Segment in the Library Access window to give access to separate roles, locations, departments, brands, or any other user groups. This is especially helpful when your organization has multiple teams that need different access rules.

What’s the difference between sharing a Resource and assigning Library Access?

Sharing a Resource (using Library Access) controls who can see the item in their Library for reference. Assigning a Resource inside a Course or Module adds the content to training, making it a to-do for the learner to complete. Resources in an assigned Module or Course will also be added to the learners Library.

Why can't I assign access to a standalone Resource?

Standalone Resources cannot be assigned because they only exist as individual Library items. They can be shared with teams through Library Access, but they cannot be directly assigned as training the way Module or Course content can.
