HRIS Integration Overview

Keep a clean record of employee data in Opus by connecting your HRIS. Our HRIS Integrations help you onboard employees faster so that trainees are automatically assigned training once they get into Opus.

Integrating with your HRIS allows you to:

  • Automatically pull locations, regions, and roles data from your HRIS into Opus.

    • From there, you'll be able to link existing roles and locations in Opus to the locations and roles in your HRIS, and vice versa.

  • Automatically assign training content according to an employee's role when they are onboarded or promoted in your HRIS.

    • This is great for dealing with large training rollouts, like compliance!

  • Automatically deactivate employees in Opus when they’re terminated in your HRIS.

    • Employee data in Opus lives separately from your HRIS. In the event an employee is deactivated from both your HRIS and Opus, and is added back to either system at a later date, Opus will recall all previous training data for that employee.

How to connect Opus with your HRIS:

  1. From the Settings page in your dashboard, click HRIS

  2. Click the "Connect HRIS" button

  3. Find your HRIS in the list and click on it

  4. Review the detailed instructions provided under your HRIS on how to connect. This will vary from system to system.

Inviting employees to Opus:

Once employees have downloaded the app and signed up, Opus will automatically pull employee data into your dashboard (name, phone number, location, and role) and label anyone who has not signed up with Opus yet into a status called "Not Invited".

Here's how to see all the employees who have not been invited:

  1. From the Settings page, click HRIS

  2. Filter the list of employees by "Invite Status" - "Not Invited"

If an employee is no longer with the company, and they are removed from your HRIS, they will automatically be moved to a Deactivated status.

HRIS Statuses:

  • Invited: An invited status means that we were able to identify the employee’s profile in Opus and pair that with the information from your HRIS or CSV upload.

  • Not Invited: These employees either have not been invited into Opus, or we have not been able to match their profile with information from your HRIS or CSV upload.

Manually Linking Employees, Locations, and Roles in Opus

If you recognize that an employee is both in Opus on your User page and on your HRIS list, but the name appears slightly different (e.g., a middle initial on one page and not the other), the names may need to be manually linked.

You can do the same for Locations and Roles.

  • Linking Employees
    Settings > HRIS Page > Employee Tab > Ellipses (⋯) next to Employee > Relink > Select Name > Confirm

  • Linking Locations
    Settings > HRIS Page > Locations Tab > Blue Link Button next to Location > Select Location Name > Confirm

  • Linking Roles
    Settings > HRIS Page > Roles Tab > Blue Link Button next to Role > Select Role Name > Confirm
