A Check-in is a form a manager completes to assess a trainee's skills in person. Check-ins are built into training modules, so when a trainee reaches a Check-in step, a facilitator needs to complete the form with them before the module can be finished.
Facilitators can find pending Check-ins two ways: they'll appear under "Check-ins to Facilitate" on the app home screen, or they can be accessed directly from the trainee's profile. From there, the facilitator can either complete or delegate the Check-in.
π‘ While managers are usually the ones facilitating Check-ins, any user with the "Complete Check-in" permission can facilitate a Check-in for another team member.
How to Facilitate a Check-in
Open the Opus Training app. You can find Check-ins in three places:
The "Check-ins" section on the app home screen
The "Needs Attention" tab
In your team member's profile
Tap the Check-in you need to facilitate
Review the Check-in status before proceeding. Pending Check-ins will show one of two statuses:
Ready β the trainee has completed all required module steps before the Check-in.
Not Ready β the trainee still has training to complete.
Complete the questions in the Check-in form.
If the Check-in has a passing requirement, you'll be shown suggested steps to provide the employee between attempts. Learn more about passing requirements for Check-ins here.
Tap "Submit." Completions are tracked and can be reviewed in the dashboard under the "Reporting" tab of the Check-in.
π‘ You can also facilitate a Check-in directly from a user's profile. Search for the user's name in the app > open their profile > tap the "Check-ins" tab > facilitate any pending Check-ins.
How to Delegate a Check-in
Check-ins can be delegated to other team members in the mobile app. This feature is only available in the mobile app and cannot be completed from the dashboard.
From the "Check-ins" section, tap "Check-ins to delegate."
Select the team member's Check-in you'd like to reassign, then choose a new facilitator.
The list will only show users at that location who have the "Complete Check-ins" permission enabled.
Choose how you'd like to delegate:
One-time delegation β applies only to the current Check-in instance.
Set as new default facilitator β assigns that team member to facilitate all future instances of that Check-in for everyone at their location.
FAQ
What happens if I try to delegate a Check-in to someone without the right permissions?
Only users with the "Complete Check-ins" permission appear in the delegation list, so you can only delegate to team members with the appropriate access. Admins and Managers have this permission enabled by default.
Why is a pending Check-in showing as "Not Ready"?
Some modules are set up to be completed in order, meaning each step must be finished before the Check-in becomes available. When this setting is not enabled, Check-ins can be completed at any point in the module.
What's the difference between one-time delegation and setting a new default facilitator?
A one-time delegation only applies to the current Check-in instance. Setting a new default facilitator means that person will automatically be assigned to facilitate all future instances of that Check-in for team members at their location.
