How to Assign Courses and Modules in Opus

Assigning training is an essential function in Opus. The simplest type of assignment is manual one-off assignments, but automations can help save you time on making assignments in bulk.

How to Manually Assign a Course or Module

  1. Go to the course or module you would like to assign

  2. Click the blue +Assign button at the top right

  3. Select individual users or bulk-select based on location, role, department, etc.

  4. Click Assign

  5. Go into the Manage tab of your course or module to review a list of the assigned users and their completion status

How to Create an Automation

Automations can be used to assign course or module assignments to users based on their location, role, brand, department, franchise, region, or hire date. Watch the video above for a quick tour of how automation works.

  1. Go to the Manage tab of the course or module

  2. Click the New Automation button

  3. Select the groups or users you want to automatically assign content to

  4. Set a start and end date and time for your automation (optional)

    1. Optional: Turn on the toggle "Assign to existing users" if you want the assignment automation to apply to existing users that meet the automation rules.

  5. Click Create


How to Reassign a Course or Module

There are three options for re-assigning training:

  • Full Module Reassignment - reassigning the entire module

  • Partial Reassignment - selecting individual courses from within a module

  • Standalone Course Reassignment - reassigning one course

How to Reassign a Course or Module

  1. Go to the Assignments tab on the Course or Module Overview Page

  2. Select the trainee(s) you want to reassign the course to

  3. Click Reassign from the blue tool bar that pops up on the bottom of the screen.

    1. If reassigning a module, select which contents of the module need to be reassigned.

  4. A pop up will appear letting you know if the trainee(s) you have selected have already completed the course or are in progress.

How to Partially Reassign a Module

  1. Go to the Module and click Assign in the top right

  2. Select which user(s) need to be assigned

  3. If applicable, you'll see the option to reassign to users that have previously been assigned this module. Turn on this toggle to reassign to existing users.

  4. Select whether you would like to assign the entire module or select course(s)

🤔 What if I've made updates to an existing course or module?

We know that updates and changes happen fast. To address this, we've created an assignment flow that makes it easy to get everyone up to speed and issue version updates as soon as changes are published. This means every user has the most up-to-date version of training.

Use the table below as a guide on what happens when a new version of a course or module is published and needs to be re-assigned.

Important to note:

  • If a trainee is in progress on a course or module and that training is re-assigned to them again, they will lose progress and have to start over.

  • If a trainee has completed a course and that course is manually re-assigned to them again, they will have to take the course again.

  • If a trainee has completed a course as a standalone assignment and you assign the same course from within a module, the trainee will need to retake the course.

  • If a trainee has completed a course from within a module and it appears in another module, the trainee will get completion credit for that course. If they are in progress on the course, they will need to start over.


How to Remove an Assignment

  1. Click on the title of the course or module you'd like to un-assign.

  2. Click the Assignments tab on the Course or Module Overview Page.

  3. Click on the trainee(s) you want to remove the course assignment from

  4. Click “Remove” on the blue tool bar that appears on the bottom of the page

Note: You can only remove course assignments from trainees that are in progress or not started
