Table of Contents:
How to Manually Assign a Course or Module
In the Opus Training App
From the home screen or the Team tab, tap Assign at the top.
Select one or more pieces of training, then tap Next.
Choose the team members to assign the training to (by name, Location, or Role).
Tap Next, review the training and team members, then tap Assign.
š” Assign from a profile: You can also open a team member from the Team tab at the bottom of the app (or through search) and assign training directly from their profile.
In the Dashboard
ā Before you start: Publish the Course or Module first. Assign stays unavailable on drafts, on archived content, and on Modules with nothing in them.
In the dashboard, go to Training > Library, select the Courses or Modules filter, and open the Course or Module.
Click Assign in the top right corner, then choose Assign once.
Click Select users, then pick individual team members or bulk-select by Role, Department, Location, and more.
Click Assign.
Go to Reporting > Assigned to review who's assigned and their completion status.
How to Create an Automation
Automations assign Courses or Modules automatically based on a team member's:
Location, Role, Brand, Department, Franchise, or Region
Hire date
ā Before you start: Only Admins can create Automations, and the Course or Module must be published.
Open the Course or Module and start the Automation:
Click Assign > Create automation, or click Create automation in the Automations row on the Overview tab.
To change an existing Automation, click Assign > Edit automation, or click Manage in the Automations row.
Click Select users and choose the groups you want to automatically assign content to.
Pair Locations with All Trainees, All Managers, a Role, or a Department. Locations on their own don't select anyone, so Opus asks you to add one.
(Optional) Click Add a segment to add more segments (for example, Segment 1: Sales Associates at Downtown; Segment 2: Team Leads at Midtown).
(Optional) Turn on Assign only to new users to exclude existing team members who already meet the Automation rules.
(Optional) Turn on Auto reassign to automatically reassign on the time intervals you set.
Auto reassign doesn't appear for premium or Marketplace content.
(Optional) Set Start assigning and Stop assigning dates and times for your Automation.
Click View users to review the team members who meet your criteria.
View users is hidden when Assign only to new users is on, since no one is assigned right away.
Click Create (or Save when editing).
š” Reach separate groups with one Automation: Each segment is its own group of team members, so one Automation can cover several audiences.
How to Verify Your Automated Assignments
When creating or editing an Automation, click View users to see exactly who gets the assignment. The dialog has two tabs:
To assign now: Team members who receive the assignment as soon as you save. If the Automation starts later, the tab reads To assign on [date].
Already assigned: Team members who won't get a new assignment, plus their current status.
š” Don't see View users? It's hidden when Assign only to new users is on, and for premium or Marketplace content.
How to Pause an Automation
To pause an Automation, click Manage in the Automations row, turn off Auto-assign new people, and click Save. Existing assignments stay.
The Automations row then shows Paused. Turn Auto-assign new people back on to resume.
How to Reassign a Course or Module
Reassign training in any of these ways:
Full Module reassignment: Reassign the entire Module.
Partial reassignment: Reassign selected Courses within a Module.
Stand-alone Course reassignment: Reassign a single Course.
How to Fully Reassign a Course or Module
Open the Course or Module and go to Reporting > Assigned.
Select the team members you want to reassign to, then click Reassign in the toolbar that appears at the bottom of the screen.
To reassign one team member, click the ⦠menu on their row and select Reassign.
If you're reassigning a Module, choose Reassign entire module including check-ins, or Select content to reassign to pick specific Courses.
Review the summary of who has already completed the training or is in progress, then click Reassign.
Here's how updates to already-assigned training reach your team:
Team members who haven't started automatically see the most up-to-date version.
Team members who have completed the training see the new version when they open it in their Library for review.
Team members who have started but not finished keep the older version unless they're reassigned.
š” Keep everyone current: To make sure everyone gets your changes, send a Message or reassign the updated Course to team members who started an older version.
How to Automatically Reassign a Course or Module
Open the Course or Module and click Assign > Create automation, or Assign > Edit automation for an existing one.
Below Assign only to new users, turn on Auto reassign. It doesn't appear for premium or Marketplace content.
Choose how often to reassign, and whether the interval starts from Assignment or Completion.
Click Create (or Save when editing).
ā ļø Editing Auto reassign can reassign right away: Changing this setting triggers reassignment for existing assignments that match the Automation criteria.
šÆ Example: Assignments were made 3 months ago, and you set the rule to reassign every 2 days after assignment. Those older assignments are reassigned right away, since they're at least 2 days old.
How to Partially Reassign a Module
Open the Module, click Assign in the top right corner, and choose Assign once.
Select the team members to assign.
If any of them were already assigned this Module, turn on Reassign to [number] users.
Choose Reassign entire module including check-ins, or choose Select content to reassign and pick specific Courses.
Click Assign.
What Happens When You Reassign
If a team member is in progress on a Course or Module and it's reassigned to them, they lose their progress and start over.
If a team member has completed a Course and it's manually reassigned to them, they have to take it again.
If a team member completed a Course as a stand-alone assignment and you assign the same Course from within a Module, they need to retake it.
If a team member has completed a Course from within a Module and it appears in another Module, they get completion credit for that Course. If they're in progress, they start over.
ā ļø Reassigning resets progress: Team members in progress start over, and team members who finished have to take it again.
š” Updated a Course or Module? Reassign it after you publish your changes to push the latest version to team members who already started or finished it.
How to Remove an Assignment
Open the Course or Module you'd like to unassign.
Go to Reporting > Assigned.
Select the team members you want to remove the assignment from.
Click Remove in the toolbar that appears at the bottom of the page.
To remove one team member, you can also click the ⦠menu on their row and select Remove.
ā ļø Completed training stays: You can only remove assignments from team members who are in progress or haven't started. If a Course was assigned through a Module, remove the Module instead.

How do I reassign training?
You can reassign an entire Module, selected Courses within a Module, or a single Course. Go to Reporting > Assigned, select the team members, and click Reassign.
Team members who haven't started see the latest version automatically. Those who have started may need to be reassigned to get updates.
How do I remove an assignment?

You can only remove assignments that are in progress or not started.
Why can't I assign training to a team member?
A few things can stop an assignment, or hide or gray out the Assign button:
Your Role doesn't have the Assign Content permission. Ask an Admin to update your Role.
The Course or Module isn't published yet, or it's archived. A Module also needs at least one item in it.
The Course can only be assigned as part of a Module, because its Manually assignable setting is turned off. You'll see "This course can only be assigned as part of a module."
It's premium content from the Marketplace, which also needs the Manage Premium Content permission.
You're a Manager, and the team member isn't at one of your Locations, is an Admin, or is in a more senior Role.
The team member is deactivated.
Learn more in Role-Based Permissions Overview.
Can I schedule an assignment to start later?
Yes, with an Automation. When you create the Automation, set Start assigning to At a later date and time. Only Admins can create Automations.
Can I assign several Courses or Modules at once?
Yes:
In the Opus Training app: tap Assign on the home screen and select as many Courses and Modules as you need.
In the dashboard: open a team member's profile from People > Users, click Assign, and add several at once.
If you often assign the same group of Courses together, bundle them into a Module.
Does Opus remind my team about their training?
Yes. Team members who use the Opus Training app get:
A push notification (or a text, if push notifications are off) the day before and the day an assignment is due. Courses inside a Module don't get these reminders for their own due dates.
A weekly reminder if they have incomplete or past-due training and haven't been active for a few days.
Admins and Managers aren't notified when a team member misses a due date. Open the Course or Module and go to Reporting > Past due to see who's past due.
How do I send a reminder to team members who haven't finished?
Open the Course or Module and go to Reporting > Past due, or filter Reporting > Assigned by status.
Select the team members and click Message.
From the same toolbar, you can also update the due date or mark training complete.
How do I assign a Path?
You don't assign a Path directly. Assign the first Module in the Path, or set up an Automation for it.
When a team member completes it, the Path assigns the next Module for you. Learn more in Paths Overview.
How do I assign a Checklist or Audit?
Checklists and Audits aren't assigned to individual team members. Instead, on the Overview tab:
Click Make available in the Available in library row.
(Optional) Add a Schedule in the Schedules row for the Locations that should complete them.
Learn more in How to Build and Publish a Checklist.
Can Managers assign training?
Yes. Manager Roles have the Assign Content permission by default, and Admins can turn it off for a Role.
Managers can assign to Trainees and Managers at their own Locations. Learn more in Role-Based Permissions Overview.
Can my team complete assigned training on a computer?
Yes. Team members can sign in at dashboard.opus.so and find their training under Your assignments. Learn more in How to Train on Desktop or Tablet.
