How to Archive Content

Archive content to remove it from your Library without losing completion history, and unarchive it from Training > Archive.

Training content has a shelf life. Archiving takes outdated content out of your Library and stops new assignments, while keeping every completion your team has already earned.

✅ Before you start: You need the Manage Library permission to archive or unarchive content. Admins and Managers have it by default. Learn more in How to Create & Manage Roles and Manager Levels.

What You Can Archive

You can archive Modules, Courses, Resources, Opus Docs, Check-ins, Checklists, and Audits.

Folders can't be archived. Deleting a Folder removes the Folder but keeps all the content inside it.

How to Archive Content

Archive One Item

  1. Go to Training > Library.

  2. Hover over the item and click the … menu.

  3. Select Archive, then click Archive to confirm.

You can also archive from the item's own page. Open it, then select Archive from the … menu at the top of the page.

Archive Several Items at Once

  1. In Training > Library, check the box next to each item you want to archive. Hold Shift to select a range.

  2. Click Archive in the bar at the bottom of the screen, then confirm.


What Happens When You Archive

  • Library: The item is removed from your Library and can't be assigned.

  • Incomplete assignments: Removed. Team members who haven't finished lose access.

  • Completed assignments: Kept. Completions stay in reporting and on each team member's training record.

  • Modules: An archived Course, Resource, Check-in, or Checklist is removed from every Module it's in. Completed progress is kept.

  • Automations: Turned off for that item.

  • Checklist and Audit schedules: Deleted.

Archiving a Module doesn't archive the content inside it. It does remove any rules that assign the next Module when that one is completed.

⚠️ Unarchiving doesn't undo everything. Restoring an item turns its Automations back on, but it doesn't restore removed assignments, Module placements, Checklist or Audit schedules, or next-Module rules. Re-add and reassign the item as needed.

How to Unarchive Content

  1. Go to Training > Archive.

  2. Find the item. Use the search bar or filter by Tags.

  3. Click the … menu and select Unarchive.

Items are unarchived one at a time. You can also open an archived item and select Unarchive from the … menu at the top of the page.


FAQ

Can I permanently delete content?

No. Content can be archived, but not deleted.

Will my team lose their completion history?

No. Completed training stays in reporting and on each team member's record. To see it on a profile, go to People > Users, open the team member, select the Completed Training tab, and turn on Include archived.

Can I archive content from the Opus Training app?

No. Archiving and unarchiving happen in the dashboard.

Why can't I archive anything?

You need the Manage Library permission. Ask an Admin to update your Role. Learn more in How to Create & Manage Roles and Manager Levels.

Who can still see archived content?

Archived content disappears from everyone's Library, but completions stay on each team member's record and in reporting. Admins and Managers can find archived items under Training > Archive.

Does Quick find show archived content?

No. Search in Training > Archive instead.
