How to Invite Employees into Opus

This article is about inviting trainees to train with Opus

All you need to get your employees into Opus is their phone numbers. At Opus, we use phone numbers as unique identifiers for all users.

When an employee is invited to a specific location, each location has its own unique signup link which employees access by scanning the auto-generated QR code with their smartphone. If they are not able to scan the QR code, they can also be sent a signup link, all within the same screen.

Admins and Managers can invite an employee to start training from the dashboard or from the mobile app. Trainees in Opus will only have access to the Opus Training mobile app. Let's dig in to each one.

Invite Trainees from the Dashboard via Desktop

If you are an Admin or Manager, you can invite employees to start training right from the web dashboard. Here's how:

  • Click the blue "+" button in the top left corner

  • Hover over "Invite" from the dropdown menu

  • Click "Trainee" from the dropdown menu

Choose your desired location and the corresponding QR code will appear.

Just below the QR code, you'll see 2 options:

  • Print as Poster - download a sign up poster with the QR code on it

  • Copy as URL - copy the sign up link and share via text or email


Invite Trainees from the Opus Training Mobile App

From the Opus Training mobile app, managers can invite their team at standup meetings, pre-shift meetings, or any other time they interact with their team.

  • From the home screen of the app, tap the "Invite" button

  • A QR code will appear

  • Select your desired location from the drop down menu, and have employees scan the QR code from your phone screen

  • Just beneath the QR code, you'll also have the option to share the signup link via text or email

Remember, every location has a unique QR code and signup link!


Employee Signup

Managers are the key to high signup rates because they have the closest connection with your frontline. Once an employee has scanned the QR code or clicked the signup link for their location, they sign up in less than 10 seconds! Signup for training requires three pieces of information:

  • Preferred language

  • Full name

  • Phone number

Once they complete signup, the employee will be redirected either to their App Store (iOS) or their Google Play Store (Android) to download the Opus Training app. The minimum iOS version we support is iOS 13.

For employees that do not have a phone number or mobile device, they can signup for Opus using an email username and password. This option is offered at the bottom of the signup page by clicking on "Don't have a phone? Use an email instead."

Once the employee has downloaded the app, they log into the app using their phone number. Training can begin right away!

WhatsApp

If WhatsApp is downloaded to the phone of a trainee, they will receive a verification code via text message and WhatsApp.

Phone Verification

If the trainee does not receive a verification code via text, they can elect to receive the code by phone call. Once you enter your mobile number, you can click “Get a call instead”.

Email Signup (for users without a phone)

If a trainee does not have a mobile device, they can sign up for Opus using an email address and password. At the bottom of the location signup page, click the link: Don't have a phone? Use an email instead.

The trainee will select their language, enter their name, email address, and create a password.

From there, the trainee will download the Opus training app and sign up with the email and password they entered on the signup page.

Manual Signup Code

If a trainee has downloaded the Opus app ahead of being invited, you can use the manual sign up code (located under the QR code) to allow them to proceed with signup.

Once the trainee enters their phone number into the Opus app, they will be prompted for a code, at which time they will enter the manual code provided by their manager.

Please note: we don’t track GPS location and we don’t sell any information to third parties. Trainees do not need to log into the app each time they train. They simply open the Opus app and start training while they are at work.
