Library Access Overview

With Library Access, you can control who sees what content in their Library.

What is Library Access?

With Library Access, you can control what team members see in their library based on their region, brand, franchise, department, location, and role.

Library Access is the simplest way to manage your organization’s content so that team members only see the content that’s relevant to them.

How to Set Library Access

You can designate Library Access for Modules, Courses, Task Lists, and Resources one-by-one or in bulk. When Library Access is given to a team member, that content will be visible in their Library. For trainees, this also means that they can self-serve on any content they have access to.

💡 Content must be published before it can be shared via Library Access.

Setting Library Access for a Content Piece

Here is how you can set Library Access for a single piece of training:

  • Head to your Resource, Module, Course, or Task List

  • Open the Manage tab > Library Access

  • Configure who gets access based on the available filters

Setting Library Access in Bulk

To assign Library Access to multiple items at once:

  • Select multiple pieces of training in the overview section of your dashboard, like the list of Resources

  • Click the Library Access dropdown in the menu bar at the bottom of the screen

  • Click Change Access to set Library Access rules or Remove Access to revoke permissions

    • Removing access immediately removes the content from the user’s library.

  • Assign access based on individual users, roles, locations, departments, regions, brands, or franchises.

💡 Click + Add a Segment to give access to separate user groups. This is helpful when managing distinct groups within the same company!

What's the difference between Library Access and Assignment?

While Library Access functions very similarly to Assignment, they do serve different purposes in Opus.

Assignments can be made for any Module or Course. Assignments are training that must be completed in Opus. Whereas, Modules, Courses, and Resources made available or visible in a team member's library via Library Access are optional for completion.

  • Assignment completions are reported in the Completion Reporting Grids.

  • Module or Course completion done via Library Access are tracked on the Library Access page of the Module or Course. These completions are not accounted for in the Completion Reporting Grids.

  • Resources cannot be assigned unless they are part of a Module or Course. Standalone Resources can only be made visible in a team member's library via Library Access.
