Building Checklists
How do I build a Checklist?
Build Checklists in the dashboard, with auto-translation, auto-save, and real-time collaboration.
Each Checklist is made up of Sections (like Stockroom or Register) and steps (like "Is the stockroom clean and organized?"). Learn more in How to Build and Publish a Checklist.
What types of steps can I add to a Checklist?
You can add the following step types:
Yes/No
Checkbox
Text entry
Number input
Temperature
Multiple choice
Every step can also:
Be required or optional (except Checkbox steps)
Allow photo or video uploads, or notes
Use Triggers to respond when something isn't right
How do I publish a Checklist so my team can see it?
Open the Checklist, finish it on the Build tab, and click Publish.
On the Overview tab, click Make available next to Available in library to give your team Library Access.
Optionally, add a Schedule.
Learn more in How to Build and Publish a Checklist.
Can I add a step to a Checklist that's already published?
Yes. On the Build tab, click Edit, add the step, and click Publish again.
⚠️ In-progress Checklists restart: Anyone in the middle of the previous version has to start it over, so publish changes outside busy shift times when you can.
Can I copy a Checklist?
Yes. Go to Operations > Checklists, click the … menu next to the Checklist, and select Duplicate.
Can I require a photo that's taken in the moment?
Yes. On the step, open the … menu, choose Photo/Video, set the photo to required, and turn on Disable camera roll. The camera opens right away, so team members can't upload an older photo.
Sharing & Scheduling
How do I share a Checklist with my team?
Use Library Access to share Checklists by Role, Location, hire date, and more, so team members see only the Checklists they need. On the Checklist's Overview tab, click Make available next to Available in library.
Where team members find it in the Opus Training app:
Scheduled Checklists appear in the Tasks section of the home screen during their time frame.
Unscheduled Checklists are in the Library.
Can I schedule Checklists?
Yes. Set a recurring Schedule on the Checklist's Overview tab under Schedules, so it appears in the app at set times (like "Mondays at 3pm" or "daily from 9am to 11am").
Depending on your permissions, you can see which Locations completed the Checklist during each scheduled window, and which missed it, in Reporting > Schedule completion.
💡 Publish first: Create Schedule is unavailable on a draft Checklist, and Schedules shows Available after publishing.
Can I set reminders or notifications for Checklists?
No. Checklist notifications aren't supported, since access is based on the filters you set (like Locations, Departments, or Roles) rather than individuals.
Set reminders manually or use a standing process (like a daily huddle or Checklist review) to keep Checklist usage consistent.
To keep an eye on completion, set up a daily summary email:
Go to Operations > Checklists and click Submission Notifications (Admins only).
Under Daily Summary Email, click Add recipients.
Each morning, recipients get the previous day's Checklist and Audit submissions, including any missed windows.
Completing Checklists
How do team members complete a Checklist?
Team members complete Checklists in the Opus Training app. Checklists can't be completed in the dashboard.
Can multiple team members work on the same Checklist during a shift?
Yes. Multiple team members with access to a Checklist can work on it together, and only one of them has to submit it.
Everyone with access sees answers update in real time as teammates complete steps, even before anyone submits.
Can I turn off collaborative completion?
Yes, if you want each team member to complete the Checklist on their own. Open the Checklist in the dashboard and either:
Click the value next to Collaborative in the Settings card on the Overview tab and choose No, or
Open … menu > Settings and set Collaborative Completion Enabled to No.
Can a Checklist create a follow-up Task?
Yes. After a submission, an Admin or Manager can add a follow-up Task by hand. Learn more in How to Set Up and Manage Tasks.
Can I reopen, edit, or delete a submitted Checklist or Audit?
No. Once a Checklist or Audit is submitted, it can't be reopened, edited, or deleted, and an Audit's score can't be changed.
⚠️ Submitting is final: If something was submitted by mistake, complete and submit it again.
Reporting
What kind of reporting is available for Checklists?
A Checklist's Reporting tab has three views:
Submissions: every completed Checklist, who submitted it, and any flagged issues.
Schedule completion: which Locations completed the Checklist during each scheduled window.
Steps: a summary of each step, like average answers, number of responses, and how often it was flagged. Click a step to see its responses.
Where do I find submitted Checklists and Audits?
In the dashboard:
Go to Reporting and open All Checklist Submissions or All Audit Submissions.
Or open a Checklist or Audit and go to Reporting > Submissions.
In the Opus Training app: tap View all tasks on the home screen and open Submissions.
➡️ Learn more:
Checklist Reporting Overview: submissions, Schedule completion, and step results for Checklists.
Audit Reporting: submissions and results for Audits.
Triggers & Conditional Steps
What happens if a step isn't completed the way I expect?
If a step doesn't meet your standards, like a team member reporting the register is out of bags or a storage room temperature being too high, set up a Trigger to respond automatically.
What are Triggers and why should I use them?
Triggers let you define what happens when a step in a Checklist needs attention. Based on the team member's response, you can:
Flag as issue: Mark the step so it stands out in reporting (for example, "No bags at the register").
Suggest corrective action: Prompt the team member to fix the issue on the spot (for example, "Restock bags").
Send automated message: Notify someone who needs to know about the issue (for example, message the Manager if the storage room temperature is too high).
Why did extra steps appear while I was completing a Checklist?
Your answer to a previous question triggered additional follow-up steps that are specific to your situation.
🎯 Example: If you answer "Yes" to "Do you have a self-checkout station?", you see additional questions about cleaning and maintaining that equipment. If you answer "No," those steps don't appear, so you only complete the steps that apply to you.
