How to Use Folders in Opus

Organize your training content so your team can quickly find what they need.

Folders help you organize all your training content in one place. Group Modules, Courses, Resources, Check-ins, and Task Lists into clear structures, then control who can view or edit them using Library Access.

Folders are visible in the Dashboard and the Opus Training App, so your team always knows where to look. Tailor access to ensure the right people see the right content—while keeping sensitive information protected.

How to Set Up Folders

Creating a New Folder

Only users with Admin or Manager permissions can create Folders.

To create a Folder:

  1. Go to the All section in your dashboard

  2. Click New Folder

  3. Enter a name for your Folder

  4. Optional: Add a description, choose a custom color, or upload a cover image

    1. Recommended: 16:9 images, at least 1200×675 px in JPG or PNG format

Once you've created your Folder, you can add content and set access permissions.

💡 Name your Folders based on how your team naturally talks so they can quickly find what they need.

Adding Content to Folders

There are two main ways to add content to your Folders: from within the Folder itself or directly from your Library.

Add content from within a Folder

  1. Open the Folder where you want to add content

  2. Click the blue + Add Content button to see your full content list

  3. In the list on the left, click the plus sign (+) next to any item to add it to the Folder

  4. Use the list on the right to review your selections

  5. Click any selected item to remove it from the Folder

Adding content from your Library

  1. From the Dashboard home screen, use the left menu to navigate to the content type you want to add (like Modules or Courses)

  2. Select multiple items using the checkboxes

  3. Click Add to Folder in the bottom menu bar

  4. Choose the Folder where you want to add the content

  5. Click Add to save

💡 Use the All section to see all your training materials in one place. You can filter by Tags to find specific content more easily, then add it to Folders in bulk. The All section also shows you which Folders already contain each piece of content.

Setting Library Access for Folders

Library access controls who can see a Folder and its contents in their library.

⚠️ Access to Subfolders comes from the parent Folder. Users can’t see a Subfolder unless they have access to the main Folder.

To set Library Access:

  1. In the All section, click into the Folder you want to manage

  2. In the Library Access section, click to add access

  3. Filter by role, department, location, or other criteria to choose who should see this Folder

Removing Library Access from a Folder doesn't delete the content—it just hides the Folder from users who don't have permission to see it. You can learn more about how Library Access works in here.

Creating Subfolders

You can create Folders within Folders (called Subfolders) to organize content even further.

To create a Subfolder:

  1. In the All section, open the Folder where you want to add a Subfolder

  2. Click + Subfolder under the Library Access section

  3. Enter a name for your Subfolder

  4. Optional: Add a description, choose a custom color, or upload a cover image

  5. Set library access for the Subfolder

👥 By default, Subfolders inherit their parent Folder’s Library Access, but you can restrict access further. For example, a parent Folder might be visible to all Managers, while a Subfolder is limited to Managers at specific locations.

Deleting Content from a Folder

You can remove items from a Folder at any time without deleting the content itself.

Removing a single item

  1. Open the Folder you want to update.

  2. In the content list, click the ellipsis () next to the item you want to remove.

  3. Select Remove from Folder.

Remove multiple items at once

  1. In the list view, select multiple items using the checkboxes.

  2. Click Remove from Folder in the bottom menu to remove them in bulk.

💡 Removing content from a Folder does not delete it. The item stays in your main Library and can be added to other Folders at any time.

Deleting a Folder

You can delete a Folder at any time. Deleting a Folder does not delete the content inside—it only removes the organizational structure.

To delete a Folder:

  1. In the All section of the Dashboard, hover over the Folder you want to remove.

  2. Click the ellipsis () next to the Folder name.

  3. Select Delete Folder.

💡 Deleting a folder may also remove Library Access from certain content if no individual access has been set.

Folders in the Opus Training App

While the Dashboard is where you create, manage, and organize Folders, the Mobile App lets team members quickly access all the content in the Folders they can view.

In the Mobile App, Folders appear at the top of the Library, making it easy for users to find training content on the go. Each user only sees the Folders and Subfolders they have been granted access to.

Tips for Organizing Your Folders

  • Think about how your team searches for training: Name your Folders based on how your team naturally talks about their work.

  • Start with Tags, then build Folders: Tag your content by topic, role, or location before creating Folders. Then filter by Tags in your Library and add content to Folders in bulk. This makes setup much faster.

  • Match your organizational structure: Choose an approach that aligns with how your team thinks about their training, like:

    • By role: Organize content based on job functions like "Front of House" or "Kitchen Staff"

    • By training topic: Marketing LTOs/Promotions, Career Development, New Hire Onboarding Documents

Best Practices

  • Keep hierarchy simple: Users need access to the parent Folder to reach Subfolders.

  • Be careful with sensitive content: Avoid putting it in Subfolders if the main Folder has wide access.

  • Use clear names: Make it easy for everyone to find content.

  • Plan Library Access early: Set permissions before creating multiple Subfolders—it's easier than fixing them later.

Can I create Folders within Folders?

Yes, you can create subfolders to organize content in multiple levels.

Who can see the Folders I create?

Only Admins, Managers, and team members who have been given library access to a folder can see it.

Can I give someone access to a Subfolder only?

No. Users need Library Access to the main Folder to see any Subfolders.

What happens if I remove someone from a Folder?

They lose access to the Folder and all Subfolders inside it, but the content stays in the Library.

What happens to the content if I delete a Folder?

The content is not deleted—it's returned to your main library. Deleting a folder only removes the organizational structure, not the training materials inside.

Are Folders visible on the mobile app?

Yes, folders appear at the top of the library in the mobile app for any user who has been given access to them.

Can I move content from one Folder to another?

Yes, you can remove content from one folder and add it to another at any time.

Can the same content be in multiple Folders?

Yes, a single piece of content can be added to multiple folders, including subfolders. This lets you organize the same training material in different ways for different audiences.

Can I give someone access to one piece of content without giving them access to the whole Folder?
