Once it’s set up, Opus automatically pulls key details (like who’s hired, their role, and their location) from your HRIS on a regular schedule, keeping Opus current as your team changes—without extra admin work. As always, the Opus team is here to help at every step.

Before diving in, here are the most important things to know:
Integrating with your HRIS is not the only way of keeping your employee information up-to-date in Opus. Reach out to your Customer Success Manager or to support@opus.so to find the best option for you and your company.
Your employee data in Opus is only as good as what’s in your HRIS. Please make sure it’s up to date before integrating.
Most integrations sync once per day, so changes to employee data will appear in Opus the next day.
Even with an HRIS integration, no users are automatically invited. Employees will still need to sign up and download the Opus Training app. Once complete, the integration helps
onboard your team,
manage deactivations,
and keep promotions, roles, and locations up to date.
Some integrations require manual work from your HRIS provider. Due to their responsiveness, we've seen implementations take up to a few months to set up and may involve additional costs.

What Is an HRIS?
HRIS stands for Human Resources Information System. It's the platform where you manage employee information. You might refer to it by another name, such as:
HRMS or HCM
Payroll system
HR or people software
Employee management system
If your company uses any of these, that's most likely your HRIS. Here’s a list of HRIS providers we integrate with.
Do You Need to Integrate your HRIS Employee Information With Opus?
The short answer: No, an integration with your HRIS is optional. That said, connecting your HRIS can make a big difference as your team grows. It can help with:
Onboarding new hires: When a new employee is added to your HRIS, their role, location, and profile details come into Opus automatically. This gives the employee instant access and assignments to the Opus training relevant to them. Managers and admins can also see which employees have not been invited yet.
Managing Opus deactivations: When someone leaves the company and is removed from your HRIS, they're deactivated in Opus automatically.
Keeping up with changes: Promotions, role changes, and location updates sync from your HRIS into Opus automatically, ensuring the employee can only access what they're permissioned to see
Without the integration, these updates need to be made manually by an Admin or Manager.
Most integrations sync once per day, so any changes made in your HRIS will appear in Opus the following day.
❓The integration does not automate invites. Employees still need to be invited to Opus, and they'll need to sign up and download the app before they can get started.
Before You Start
Your HRIS data is the foundation: whatever is in your HRIS is what Opus will reflect. If your employee records, roles, or locations are out of date, clean that up before connecting.
Take a few minutes to review:
Are all active employees listed with current roles and locations?
Have terminated employees been marked as inactive?
Are location and role names consistent?
Getting this right upfront will save you cleanup later.
ADP and Paylocity: What to Know First
These two integrations have a different setup process than others. Read this before starting.
ADP
If you use ADP, you'll need to work directly with them to complete the set up. Things to note:
There may be an added cost: Setting up and maintaining the ADP report may come with fees depending on your agreement with ADP. Opus has no control over this.
It can take a while: We've seen ADP integrations take up to three months to complete. The timeline depends on both ADP and your team's involvement. You'll need to identify your ADP account rep to kick off the process, and you may also need to get internal approval and sign additional work orders or agreements with ADP directly.
Paylocity
Someone on your team will need the highest level of admin access in Paylocity to set up the required report. To get started, go to the dashboard and select Settings > HRIS > Paylocity, then follow the steps outlined.

What Happens After You Connect
Once your HRIS is connected, here's what to expect:
Employee data comes in: Names, phone numbers, roles, and locations are pulled from your HRIS.
You can see who still needs to be invited: Head to "Settings" > "HRIS" and filter by "Opus User" > "Not Linked." In the Opus Training app, you and your managers will also be able to see who from your workforce is still missing in Opus.
Manual linking may be needed: If a name or detail doesn't match exactly between the two systems (like a middle name in one but not the other), you can link records manually in "Settings" > "HRIS."

FAQ
Do I have to integrate my HRIS to use Opus?
No. The integration is completely optional. Many large customers use Opus without it. Without the integration, Admins and Managers will need to handle onboarding, deactivations, and role changes manually.
How long does setup take?
For most systems, you can set up directly and it takes <x min>.. ADP is the exception — setup can take a couple of weeks to a few months due to third-party dependencies. Paylocity also requires some coordination with your team and Opus before getting started.
How often does the HRIS sync with Opus?
Most integrations sync once per day. Changes made in your HRIS will show up in Opus the following day.
What if an employee's profile doesn't match between systems?
You can link them manually in "Settings" > "HRIS." Learn more here.
