How to Create & Assign a Check-in

Use this guide to create a Check-in inside of a module using the content builder.

Check-ins give you the ability to blend on-the-job training moments with your digital training through measurable in-person training events. Adding a Check-in to a module lets you ensure your training is being carried out on the floor using a custom form that ensures managers and trainers are verifying the event properly with team members.

To create a Check-in, go to create a new or edit an existing module:

  • Create a mew module from scratch or by using the AI-powered outline creator

  • Click "Add Content" > "New Check-in", > "Add New Check-in".

Once you're in the Check-in form builder, name your Check-in and give it a cover photo and description. This information will be visible to both your managers and trainees so provide as much context as possible.

From there, you'll be able to build your form by creating steps. There are 6 step types:

  • Yes/No

  • 1-10 rankings

  • Text Entry

  • Checkbox

  • Number input

  • Multiple Choice

Each step will allow for optional fields that should be completed by the Facilitator of the Check-in (this could be an Admin, Manager or Trainee), including the option for them to upload a photo as proof that the Check-in was completed.

You also have the option to "Link Content" or reference any training Module, Course, or Resource in the Check-in. Please note that Library Access must be added to that content before it is referenced in the Check-in. Learn more about adding Access rules here.

Optional: Passing Requirements for Check-ins

While Check-ins cannot be graded for accuracy, you have the option to add a passing requirement so that the Check-in facilitator can assess whether or not the employee meets the requirements to move forward in the training module:

  • Turn on the toggle "Passing requirement"

    • Optional: Add "Suggested Steps" that facilitators can use as tips to guide the employee in between Check-in attempts

Assigning Check-ins

Once your Check-in is created, add it to the module that it will be assigned through. A single Check-in can be used in multiple different modules, but only completed once.

  • Currently, Check-ins can only be assigned as part of a Module from the Opus dashboard.

  • Check-ins cannot be assigned on their own - they must be part of a module.

  • Once that module is assigned, the trainee will see that Check-in in their Opus training app and the default manager of their location will be notified of a new Check-in to facilitate.

Frequently Asked Questions

Can I edit a Check-in after it's been created?

  • Yes, you can edit a Check-in at any time. However, any changes made will only apply to future completions of the Check-in. Previous completions will maintain their original form structure and responses.

What happens if a trainee fails a Check-in?

  • If a trainee doesn't meet the passing requirements, they will need to retry the Check-in. They can review the Suggested Steps (if provided) and work with their manager to improve before attempting again. There is no limit to the number of attempts.

Can multiple managers facilitate the same Check-in?

  • Yes, any manager with the appropriate permissions can facilitate a Check-in. However, each Check-in can only be completed once per trainee, regardless of who facilitates it.

Who can facilitate a Check-in?

  • Check-ins can be facilitated by Admins, Managers, or designated Trainees who have the “Complete Check-in” permission granted. The facilitator is responsible for evaluating the trainee's performance and completing the Check-in form. By default, the location manager will receive notifications for new Check-ins that need to be facilitated for their team, but this can be controlled by setting up direct reports between roles.
