How to Create & Assign a Check-in

Use this guide to create a Check-in inside of a module using the content builder.

Check-ins are in-person training verification events that live inside modules.

When a trainee reaches a Check-in in their training, a manager or facilitator meets with them on the floor to evaluate their performance using a custom form you've built in Opus. It's a way to make sure hands-on skills are actually being practiced and verified, not just watched or read about.

How to Create a Check-in

Check-ins live inside modules. To create one, open a new or existing module:

  1. Create a new module from scratch or using the AI-powered outline creator.

  2. Click Add Content > New Check-in > Add New Check-in.

  3. Name your Check-in and add a cover photo and description. This information is visible to both managers and trainees, so include as much context as possible.

From there, build your form by adding steps.

You also have the option to Link Content β€” referencing any Module, Course, or Resource directly in the Check-in. Library Access must be added to that content before it can be referenced. Learn more about adding Access rules here.

Step Types

Each Check-in is made up of steps. There are 6 step types:

  • Yes/No

  • 1–10 ranking

  • Text entry

  • Checkbox

  • Number input

  • Multiple choice

Optionally, you can customize your steps by clicking the ellipsis (...) to see more options:

  • Required: Make steps mandatory to answer before submitting.

  • Notes: Allow or require the auditor to leave a written note.

  • Photo or video upload: Allow or require a photo to be attached.

  • Media or linked content: Attach reference images or link to relevant Courses or Resources from your Library.

  • Conditional steps: follow-up steps that only appear based on how a previous step was answered.

πŸ’‘ Collect photos and videos in Check-ins: You can add a photo or video submission to any step in a Check-in. When a team member reaches that step, they'll be taken straight to their camera app. Multiple uploads are supported, so you get a complete visual record without the follow-up.

Passing Requirements

Check-ins can't be graded for accuracy, but you can add a passing requirement so the facilitator can assess whether the employee is ready to move forward.

To enable, turn on the Passing Requirement toggle. Optionally, add Suggested Steps β€” tips facilitators can share with employees between attempts.

Assigning Check-ins

Once created, add your Check-in to the module it will be assigned through. A single Check-in can be used across multiple modules but can only be completed once per trainee.

  • Check-ins can only be assigned as part of a module from the Opus dashboard β€” they cannot be assigned on their own.

  • Once the module is assigned, the trainee will see the Check-in in their Opus app and the default manager of their location will be notified.

FAQ

Can I edit a Check-in after it's been created?

Yes. Any changes apply to future completions only β€” previous completions retain their original form and responses.

What happens if a trainee fails a Check-in?

They'll need to retry. Facilitators can share Suggested Steps (if provided) to help them prepare. There's no limit to the number of attempts.

Can multiple managers facilitate the same Check-in?

Yes, any manager with the appropriate permissions can facilitate. However, each Check-in can only be completed once per trainee regardless of who facilitates it.

Who can facilitate a Check-in?

Admins, Managers, or Trainees with the "Complete Check-in" permission can facilitate. By default, the location manager is notified for new Check-ins, but this can be adjusted using Direct Reports. Learn more about how to facilitate and delegate a Check-in here.
