Build a searchable Resource Library so your team can find every recipe, guide, and SOP — right from the app they use on shift.

A great training program falls apart if your team can't find the material when they need it. Your Resource Library solves that — it keeps every recipe, guide, and SOP in one place, searchable from the same app your team already uses on shift.

Getting your materials into Opus is the foundation for everything else: before you assign any training, your resources need to live here. A well-built library means:

  • For Admins: every training resource managed and organized in one place.

  • For Managers and Trainees: instant recall of any guide, course, or resource right in the Opus Training app.

Once it's set up with tags and access rules, anyone who opens Opus can quickly find the modules, courses, resources, and Check-ins they need — on the dashboard or mobile app.

How to Set Up Your Resource Library

Building your library takes three steps:

  1. Upload your resources into Opus

  2. Organize them with tags

  3. Set up Library Access rules

Step 1: Upload Your Resources

  1. Click the blue "+" button at the top of the main navigation.

  2. Select "Resource" from the dropdown.

  3. Click "Upload Resource" to choose a file from your device (or drag and drop), or click "Paste Link" to add a link.

  4. Add a name and description.

  5. Click "Save" in the bottom right.

💡 Opus supports many file types, but we recommend PDFs for documents, JPEGs for photos, and MP4 for video or audio. Learn more about supported resource types.

Step 2: Organize with Tags

Tags help everyone find what they need fast. Pin them or make them "Available in App" so your team can filter their library on mobile. Common approaches:

  • Company lingo

  • Training categories

  • Role or department (FOH, BOH, Kitchen)

  • Internal labels for Admins

Apply multiple tags to one item, using terms your team already uses. Example: the "Toast POS Overview" module is tagged "FOH" and "Tools and Technology," so your team can find it under either tag.

To create a tag:

  1. Go to Settings > Tags.

  2. Click "+ New Tag" in the top right.

  3. Edit or delete a tag from the three-dot menu at the end of its row.

💡 "Available in App" refers to the tag itself, not the content tagged with it. Learn more about tags.

Step 3: Set Up Library Access

Access rules let your team self-serve training — with access, Trainees can even self-assign modules and courses. Use access to share anything helpful or relevant, and target who sees what based on how your business is set up in Opus.

To set up access:

  1. Go to the "Manage" tab of the resource.

  2. Click "Library Access" in the left navigation.

  3. Click "Add Access."

  4. Select the team member(s) or group(s) who should have access.

📝 Important: Resources can be included in a course and reviewed once that course is completed. Standalone resources can only be shared via access.


Resource Library Best Practices

  • 🏃 Picture a Trainee mid-shift: make resources easy to reach on mobile and name them with terms your team recognizes.

  • 🧠 Design for different learning styles: mix images, video, and text.

  • 🤝 Involve the teams who use them: confirm with your Managers that resources will get used — check engagement on the "Reporting" tab.

  • 💡 Use bulk actions in the library to tag and set access for many items at once.


FAQ

Where can Trainees find the Resource Library?

Trainees find their library in the Opus Training app by tapping "Library" in the bottom navigation.

What's included in the library? What file types are accepted?

You can upload almost any file type into Opus. Learn more about supported resource types.

Who can upload a resource? Who can download?

Any user with the "Manage Library" permission can upload resources to Opus. Once someone has access to a resource in their library, they can download it to their personal device.

Can I limit access? If someone is assigned content, are they granted access at that time?

Assigned courses and modules are automatically stored in a Trainee's library once completed. When someone is given access to a module, course, or resource, they have the option to take that training. Note that resources can't be assigned — they can only be shared via access.
