Get quick answers to the questions businesses ask most when they plan how their team gets into Opus.

Integrations and Sign-Up
Will my HRIS or POS add my team to Opus automatically?
No. Connecting your HRIS doesn't create profiles or send invites. Trainees sign up themselves when a Manager or Admin shares their Location's QR code or signup link, and you invite Admins and Managers.
Once your team is in Opus, the integration keeps their Roles and Locations up to date and deactivates team members who leave your business.
What does connecting my HRIS do if my team still signs up?
Assigns the right training: Opus matches each new team member to their HRIS record and applies their Roles and Locations, so your Automations assign their training.
Keeps up with changes: promotions, Role changes and Location moves in your HRIS update in Opus.
Deactivates team members who leave: their training history stays saved, and it's restored if they come back.
Shows who hasn't joined yet: go to People > HRIS and filter by Link status > Not Linked.
Powers your adoption reporting: Adoption in Reporting compares the team members on Opus with each Location's team size from your HRIS.
Learn more in HRIS Integration Overview and Reporting Settings.
Why doesn't Opus invite everyone in our HRIS?
Team members join from a QR code or link their own Manager shares, so they know what Opus is and why they're using it from day one. Signing up only takes a few seconds.
Self-sign-up through QR codes is the standard process, and customers with hundreds of locations, including fully franchised ones, run on it.
Trainee Sign-Up
How do I invite Trainees?
First, share a Location's QR code or signup link.
Show the QR code: open New > Invite Users > Trainee on the dashboard, or tap Invite in the Opus Training app, and have the Trainee scan it.
Send the signup link: click Copy as URL, or tap Copy Signup Link in the app, and send it by text or email.
Print a flyer: click Print as flyer to post the QR code in your break room.
Once the Trainee scans the QR code or clicks on the link, they then choose their preferred language, enter their name and mobile phone number, and download the Opus Training app.
Learn more in How to Invite a Trainee.
Why do Trainees get a SMS text with a code?
When a Trainee signs up or logs in to the Opus Training app with their phone number, Opus texts them a one-time verification code. Entering it confirms the phone number is theirs, the same way many apps confirm a sign-in.
If the text doesn't arrive, they tap Get a call instead.
Do Trainees need to use their personal phone?
No. A Trainee can train on a store tablet or computer instead. The verification code still goes to the phone number they enter.
A Trainee without a phone number taps Don't have a phone? Use an email instead. on the sign-up page, and logs in with an email address.
Can my team share a store device?
Yes, you can have team members train on shared devices. Each Trainee logs in to the Opus with their own phone number, and taps Sign Out when they're done, so their progress is tracked individually.
You can also set up one shared store profile on a shared. It tracks the whole store as one profile, not each team member. Learn more in How to Create a Shared User Profile in Opus.
Admins and Managers
What's the difference between Admins, Managers and Trainees?
Admin: manages Opus for your whole business.
Manager: oversees one or more Locations, from a General Manager to a District or Area Manager, and sees the team at those Locations.
Trainee: completes training in the Opus Training app.
Learn more in Role-Based Permissions Overview.
Can I invite Managers in bulk or schedule invites?
Yes, Admins can invite multiple Managers or Admins at once, now or on a date you choose.
Go to Settings > Scheduled Invites and click Schedule Invites.
Choose Manager or Admin, then paste or drag in a CSV with first name, last name, email, phone, Locations, Roles and job title.
Pick a date and time under Invite at, or leave it empty to send the invites right away.
Each Manager needs to be assigned to at least one Location. To invite one Manager at a time, see How to Invite a Manager.
Can an Assistant Manager see their General Manager's training data?
Not when you set Manager Levels. Managers see team members at their level and below. Admins set levels from People > Roles with Edit Manager Levels.
Matching Your Team to Your HRIS
How does Opus match a team member to their HRIS record?
Opus looks for their phone number in your HRIS first. If there's no match, it matches on their first and last name.
What if a team member signs up with a different phone number than the one in our HRIS?
Their training isn't blocked. Opus tries to match them by name instead. If it can't, their record shows as Not linked on People > HRIS. Click their name and use Link to opus user to link them to the right profile. Learn more here: Manually linking your data.
How quickly do HRIS changes show up in Opus?
Opus checks your HRIS for changes at least once a day. How soon a change appears also depends on how often your HRIS shares its data. Learn more in HRIS Implementation Guide.
What does Opus pull from our HRIS?
Names, phone numbers, Locations, Roles and status, including start and termination dates, for active employees. HRIS ID numbers and departments don't sync.
Why does Opus use phone numbers instead of email?
Trainees don't need an email address to use Opus, so email can't identify everyone. A phone number belongs to one person in Opus.
What if our HRIS doesn't have phone numbers?
Opus matches on names instead, which is less reliable: nicknames and spelling differences need to be linked by hand. To find the best option for your business, message our team through chat or email support@opus.so.
Moving From Another Training Platform
Can we move our team's profiles from our current platform?
Not directly, but you can import your team's information from another system, like your HRIS. Each team member still creates their own profile when they sign up, including their preferred language.
Can we import training our team already completed?
Yes. Admins import past completions from Settings > Training Imports, and team members who haven't signed up yet get theirs when they join. Learn more in How to Import Training Completions.
Franchises and Multiple Locations
Does sign-up work differently for franchises?
No. Franchise and corporate businesses use the same process: Trainees sign up from their Location's QR code or signup link, and you invite Admins and Managers.
How do I see who hasn't signed up yet?
Go to People > Users and filter by App downloaded > No. If your HRIS is connected, filter People > HRIS by Link status > Not Linked to see everyone at each Location who hasn't joined yet.
