How to Set Up Your Business and Team in Opus

Learn how Locations, Roles, and their groups organize your team in Opus, so the right training reaches the right team members.

Written by Ben Brunken

Locations and Roles decide who gets which training and how your reporting rolls up. Set them up before you invite your team, so every assignment and report can reach the right team members.

✅ Before you start: Creating Locations, Roles, and their groups needs the Change Org Settings permission.

Admins have it by default. Managers have it only when their Role turns it on.

Everything here is on the web dashboard, under People in the left menu. There's no limit to how many you can create.

Table of Contents:

Locations and Location Groups

Locations are the base of your setup. Group them into Regions, Brands, or Franchises to assign training and filter reporting across many sites at once.

Locations

A Location is one site where your team works. Each Location has its own signup link and QR code, and Trainees join the Location whose link they use.

To add one, go to People > Locations and click New Location in the top right corner.

Regions

Regions group Locations, often by geography. A Region can sit inside a parent Region, so you can nest them.

To add one, go to People > Regions and click New Region.

Brands

Brands group Locations that share a brand. Add a logo and color, and Trainees and Managers who belong to one Brand see them in the Opus Training app.

To add one, go to People > Brands and click New Brand.

Franchises

Franchises group Locations by franchisee.

To add one, go to People > Franchises and click New Franchise.

💡 Don't see Regions, Brands, or Franchises? Each group type appears under People once it's turned on for your business. To turn one on, message our team through chat or email support@opus.so.

Roles and Departments

Roles and Departments describe what your team members do, so you can assign training by job.

Roles

A Role is a job title or function. Each Role also carries a permission level, which decides what its team members can do in Opus.

To add one, go to People > Roles and click New Role. Add Roles to a Trainee's profile after they sign up.

Departments

Departments group Roles. A Department can sit inside a parent Department, so you can nest them.

To add one, go to People > Departments and click New Department.

  2. Group your Locations. Add Regions, Brands, or Franchises if your business uses them.

  3. Create your Roles. Then group them into Departments.

  4. Invite your team. Share each Location's signup link or QR code with Trainees, and invite Admins and Managers by email.
